Shipping Coordinator

Responsibilities
This position provides a variety of duties to support the shipping department and freight forwarder to ensure on-time shipments. It creates proper shipping documentation and bill of lading. This role arranges the transportation schedule with carriers and freight forwarders. It contributes to process improvement and cost reduction. It requires good judgement, confidentiality, and adherence to departmental and company policies and procedures.

Major Duties
  • Create shipping documentation including bills of lading, shipping labels, and custom invoices
  • Provide routing information and issue shipping instructions
  • Maintain shipping records, provide tracking, shipping history information, or freight quotes to customer service
  • Coordinate shipping of freight by contacting appropriate freight carriers
  • Ensure freight carriers are selected based on company objectives for cost and delivery
  • Responsible for UPS and other ground courier data entry, both Canadian and US
  • Ensure orders are allocated and waved in a timely manner; sort according to picker stations, carriers, and priority shipment
  • Receive returned items (RA) in the system according to its proper documentation
  • Prepare daily uploaded, shipping, and RA reports and submit to management
  • Extrapolate KPI reporting and manipulate within Excel
  • Adhere to established timelines for orders
  • Follow up with Customer Service on order discrepancies
  • Communicate and resolve issues with internal departments as needed

  • Minimum Qualifications and Skills
  • Completion of post-secondary program or combination of education and experience
  • Previous experience working in a customer-focused role within the shipping, transport, or logistics industry
  • Understanding of commercial enterprise and familiarity with basic accounting
  • Experience with international shipping and custom requirements
  • Excellent communication skills with ability to present information in a clear and concise manner
  • Display professionalism and pleasant interpersonal skills
  • Perform tasks with a high sense of urgency
  • Highly attentive to detail
  • Ability read and analyze detailed invoices and spreadsheets
  • Communicate clearly and effectively with all levels of an organization
  • Must be comfortable using Microsoft Office

  • Assets
  • Knowledge of any Warehouse Management System (WMS); preference for experience using SAP Business One and Accellos Warehouse One
  • Knowledge of Distribution Centre operations

    Receiver

    Job Description
    This position is responsible for the accurate count of unit, carton and boxes of all receiving shipments according to its purchase orders and packing slips. It maintains 100% inventory accuracy. It requires good judgement and adherence to departmental and company policies and procedures.

    Major Duties and Responsibilities

  • Receive incoming shipments using RF Scanner
  • Unload trucks, containers and small parcel carriers of inbound freight
  • Report any damages and discrepancies in receiving shipments
  • Ensure products are labeled correctly according to its description and are correct quantity
  • Maintain stock at appropriate location in warehouse and rotate according to FIFO (First In, First Out)
  • Ensure products on pallet are wrapped properly and stored according to safety guidelines
  • Monitor and validate inventories, perform cycle count of all products, compare physical counts to the system counts (RB and SAP) and perform analysis on any discrepancies found
  • Assist order selector/packer in retrieving missing product to complete orders
  • Occasionally work extra hours as business demands
  • Maintain a clean, neat and orderly work environment
  • Operate equipment safely and perform daily checklist
  • Help with order selection and shipping when required
  • Other duties as assigned

  • Valid forklift, reach, order picker, and MHE certificate
  • Minimum 1-2 years of experience operating forklift, reach, and order picker, MHE
  • Minimum 1 year experience with inventory control
  • Reliable and responsible, with the ability to work independently
  • Ability to lift 20 – 60lbs
  • Legally permitted to work in Canada
  • Minimum 18 years of age
  • Ability to communicate fluently in English (read, write, speak)
  • Excellent attention to detail for number and codes
